What we send to the AI

Ledgers uses AI to read your documents and categorise your transactions. This page says exactly what leaves the platform to do that — including the parts that are awkward.

Our AI provider is Anthropic, in the United States. They process the data to answer the request and return a result. They do not use it to train their models. See Sub-processors for the full list of third parties.

What is sent

Every bank transaction, to categorise itThe description as your bank wrote it, the counterparty name, the amount and the date. Bank descriptions routinely contain a person’s name.
Every document you upload, to read itThe whole file. Not a summary, not extracted text — the actual PDF or photograph, exactly as you uploaded it.
A pay run, when you ask for a reviewEach employee’s name, whether they are a director, their tax code, and their gross pay, National Insurance and net pay.
A VAT, Corporation Tax or Self Assessment return, when you ask for a reviewThe figures on the return and the ledger lines behind them, which include supplier and customer names.
Anything you type into the assistantYour question, plus the figures from your books needed to answer it.

What is never sent

  • National Insurance numbers. They are held for payroll and sent only to HMRC.
  • Identity-verification evidence — the documents collected to verify a person’s identity under the Companies House regime.
  • Your bank login. We never hold it. Bank feeds work by a permission you grant your bank, which you can withdraw.
  • Passwords. There aren’t any — sign-in is by emailed link.

The part worth reading twice

Because we send the whole document, we cannot know in advance what is in it. If you upload an invoice from a medical clinic, a trade-union subscription, a receipt from a place of worship, a solicitor’s bill about a personal matter, or a political donation — that document goes to the United States with everything else on it.

Nothing goes wrong when that happens; it is processed and returned like any other document. But it is your information, and the honest position is that we do not currently detect or hold back documents of that kind before sending them. We would rather say so than let you find out later.

What you can do about it. If a document contains sensitive personal information that your bookkeeping does not need — a diagnosis on a medical invoice, for instance — obscure it before uploading, or enter the transaction manually and keep the document elsewhere. If you would like a document removed after the fact, email us and we will delete it.

How decisions get made

The AI proposes; it does not have the last word on anything that matters. Every posting it suggests is recorded with its reasoning and can be changed or reversed by you. Tax figures are calculated by ordinary arithmetic in our own code — the AI reviews them and gives an opinion, and never computes the number that gets filed.
